1 General
1.1 The Frequent Virgin Club (referred to as the ‘Club’)
is a loyalty programme offered by Virgin Holidays Limited, whose registered
office is at 120 Campden Hill Road, London, W8 7AR.
1.2 These Terms and Conditions
set out the relationship between the Club and individuals participating in
the programme (‘members’)
and should be read carefully before making any bookings. By making a booking
with the club, you confirm that you have read and understood these Terms
and Conditions and agree to them.
1.3 In these Terms and Conditions, ‘we’ means
Virgin Holidays Limited and ‘you’ refers to members of the programme. ‘Immediate
family’ refers only to those residing at the same address as the
registered member.
1.4 ‘Membership’ is per household. ‘Household’ is
defined as all people registered as residing under the same address. Only
household members over the age of 18 are eligible to be included in the
household membership. Only 1 membership per household is permitted. Abuse
of this will result in immediate termination of your membership. We reserve
the right to request proof of residence at any time.
1.5 Virgin
Holidays has the right to terminate the Frequent Virgin Club or to change any
of the terms and conditions of participation and benefits/offers at any time,
without notice.
1.6 Any changes to these terms and conditions will be published
on our website, or can be obtained by contacting the club directly. Please
ensure that you refer to the most current Terms and Conditions applicable,
before making any booking with the club.
2 Conditions of membership.
2.1 Membership is available to any UK household who has travelled with Virgin Holidays at least twice within the last four years with a cumulative holiday spend of £6,000 or more. Only bookings made directly with Virgin Holidays qualify towards Membership.
2.2 Your membership is valid for a period of
four years from the date your last holiday was booked with Virgin Holidays,
after which, your membership will expire. Your membership will be renewed after
this period, provided that you have travelled again at least twice within the
last four year period with a cumulative holiday spend of £6,000 or more.
2.3 Membership is offered at the sole discretion of Virgin Holidays and we
reserve the right to suspend or terminate any membership following the commission
of misconduct which shall include, but not be limited to, (i) failure to comply
with these Terms and Conditions, (ii) misuse of the services and/or benefits
which are available to Members; (iii) the use of threatening, abusive or insulting
language or behaving in a threatening or abusive or insulting manner when dealing
with any Virgin staff members or staff members of participating companies.
2.4
All benefits/bonus offers/ discounts etc are only available to the household
and their immediate family, when travelling on the same booking. Please refer
to section 3, 4, 5 and 6 for details of restrictions on these benefits/offers.
2.5 All bookings must be made direct through Virgin Holidays. You must quote
your Club membership number at the time of booking. Bookings made via Travel
Agents or third parties will not be eligible for any of the Club benefits.
2.6Your membership
card remains the property of Virgin Holidays and must be returned to us, if
requested.
3. Conditions of free benefits
Subject to the Conditions below, each eligible
household membership is able to select one of the following benefits on their
booking; Airport Car Parking, Overnight Airport Hotel Accommodation, Executive
Transfers or National Express Tickets.
3.1 All free benefits are subject to availability, Virgin Holidays standard
Terms & Conditions as contained within the brochure you book from (or website
if applicable) and any additional Terms & Conditions from the relevant
benefit provider, as stated below.
3.2 Benefits are only available to eligible Club members and are available on new bookings made after the Membership start date. The booking which qualifies entry into the Club does not qualify for a Benefit to be added.
- Only one free benefit is available per eligible household, subject to
a minimum holiday spend of £1,500.
- Where there is more than one household membership on the booking, each
household must spend a minimum of £1,500, in order to receive a free
benefit.
- A free benefit is only available on package holidays with a minimum stay
of 3 nights and is not available if booking accommodation only, excursion/attraction
tickets only or fly drive holidays.
- Free benefits are not combinable with the Virgin Atlantic Frequent Flying
Club, Virgin Money or Tesco Club Card offers/discounts.
- Free benefits are not combinable with any offers or promotions made in
conjunction with any third party.
3.8 Free benefits have no equivalent cash value and are non transferable.
3.9
In the unlikely event that any of the free benefits are unavailable, Virgin
Holidays reserves the right to substitute any of the offers, with an offer
of equivalent value.
4.0 Virgin Holidays reserves the right to withdraw any
of these benefits at any time without notice.
In addition to the above, the following terms and conditions are applicable
to the free benefit you select.
3 (a)Airport Car Parking
- Car Parking is provided by Flight Hotel Reservations.
- Free car parking is only applicable for one vehicle per membership up to
a maximum of 16 days.
- Should you require additional days car parking, you will be required to
pay for these at the time of booking. Please contact Flight Hotel Reservations
for a quotation.
- Free car parking is only available at London Gatwick, London Heathrow and
Manchester airports.
- All airport car parks are located off airport and are situated between
5 – 15 minutes away from the airport. Free transfers will be provided
to the airport terminals.
- You may be required to leave your keys with the car park operator.
- Should you exceed the period of car parking booked, then you will be required
to pay for excess charges locally. Virgin Holidays will not be held liable
for any additional charges you incur locally.
3 (b) Airport Hotels
- Airport Hotels are provided by Flight Hotel Reservations.
- Accommodation is for one night only.
- Only one room per household membership is permitted.
- At some hotels, rooms will sleep 4 people. Rooms sleeping 4 people are
limited and subject to availability.
- Accommodation is only available on a room only basis at selected hotels
at London Gatwick, London Heathrow and Manchester airports. Airport transfers
are NOT included.
- Use of some UK airport hotel facilities may be restricted (e.g. children
under 16 years using some leisure facilities).
- Hotels may make a charge for certain facilities or for the use of the airport
shuttle services.
- It is your responsibility to pay for any additional extras such as airport
transfers, breakfast etc and these must be paid directly to the hotel.
- All transfers on the airport shuttle services are subject to availability
on the day.
- Please note that the airport shuttle services do not operate 24 hours a
day. We recommend you check the timetable with the hotel in advance of your
stay.
3 (c) Executive Transfers
- Executive Transfers are provided by Hallmark Cars.
- Transfers are available to and from your UK departure/arrival airport within
a 50 mile radius (each way) only.
- Only one vehicle per household membership is permitted. The type of vehicle
allocated will depend on the number of passengers travelling. The largest
vehicle will accommodate a maximum of 6 people. Larger vehicles cannot be
requested.
- Transfers are only available to passengers listed on the booking. Under
no circumstances will the driver allow passengers not listed on the booking
to travel in the vehicle.
- At the time of making your reservation, you will be required to advise
the transfer company of the size and number of pieces of luggage you intend
to take. This includes oversize items such as skis and surfboards. Please
note, this must be within the permitted airlines baggage allowance.
3 (d) National Express Coach Transfers
- Up to four return tickets per membership only.
- Additional tickets can be purchased at a supplement, please call Virgin
Holidays for further details.
- Travel is for Standard Class only.
- This offer is subject to seat availability on the National Express network
in mainland England, Scotland and Wales. Travel may include any legitimate
change of coach on route in either direction. Please check if National Express
features your chosen route before confirming this benefit.
- All children 3 years or older require their own seat. Children under 3
years may travel free of charge, but have to share your seat if they go free.
- Reservations to reserve your seats must be confirmed with National Express
at least 14 days before departure.
- Please note, it is your responsibility to reserve your seats and Virgin
Holidays cannot accept any responsibility for your failure to do so. (this
includes both your outbound and return journey!)
- The maximum validity of return journey tickets issued is 6 months.
- Travel on the National Express is subject to the General Conditions of
Carriage of National Express, copies of which are displayed on www.nationalexpress.com
, or can be obtained from calling the Club.
4 Booking procedure for your free benefit
4.1 It is your responsibility at the time of booking, to advise the sales
consultant that you are a member of the frequent Virgin Club and to provide
your membership number.
4.2 At the time of booking, you will be asked which
benefit you wish to book. A voucher will then be sent to you along with information
on how to book your free benefit. The voucher is not confirmation of your booking,
only confirmation of your eligibility for the free benefit.
4.3 It is your responsibility
to book your free benefit with the benefit provider. Details of how to make
your booking will be sent with your voucher.
4.4 A benefit is not considered
to be confirmed, until written confirmation of the benefit has been issued
to you by the benefit provider.
4.5 You will be required to produce this confirmation
to the supplier when obtaining your free benefit. Failure to do so may result
in you being charged for the free benefit.
4.6 Free benefits cannot be booked
less than 28 days before departure. Free benefits on late bookings made inside
of this period, may be available at our discretion. Please remember that all
benefits are subject to availability and we strongly recommend that you confirm
your benefit as soon as possible so as to avoid any disappointment.
4.7 Once
you have booked your free benefit, you may change the type of benefit once,
by calling 0870 990 4214. Changes cannot be made inside 28 days of your departure
date. If changing your benefit, it remains your responsibility to book your
new benefit with the correct supplier. We will cancel your original benefit
with the original supplier on your behalf.
4.8 We cannot accept responsibility
for any loss suffered by your failure to confirm your free benefit with the
relevant benefit provider.
4.9 Should you cancel your booking prior to departure,
your free offer will also be cancelled.
5 Conditions attached to the Frequent Virgin Friendly hotel scheme.
5.1 We have teamed all with hotels all over the world
to offer special benefits/discounts to Frequent Virgin Club members.
Friendly hotel benefits are only available at selected hotels. Please refer
to the applicable brochure valid for your holiday for full details.
5.2 Frequent Virgin Friendly hotel benefits are combinable with Virgin Favourites hotel benefits.
5.3 Unless
otherwise stated, all room upgrades are subject to availability upon arrival
in resort and are for an upgrade to the next room category only.
5.4 We do not
feature all room categories in our brochures. For example, whilst our brochure
may only state Standard and Ocean View rooms, it may be the case that the next
room category up from the Standard room is a Garden view room.
5.5 Room upgrades
are subject to occupancy restrictions. If the room upgrade will not accommodate
your party, no upgrade will be given.
5.6 Where complimentary gifts are stated
(i.e. fruit in room, bottle of wine, etc) the hotelier reserves the right to
substitute such gifts with gifts of equivalent value.
5.7 You will
be required to produce your membership card upon check in at the hotel. You
will also be required to produce your membership card and when you take advantage
of the facilities/amenities where discounts are offered (for example restaurants,
spas etc)
5.8 You will not receive any of the stated benefits if you fail to
produce your membership card.
5.9 Replacement membership cards can be obtained
from the club upon request. Replacement cards will take approximately 6 weeks
to process. Please allow enough time for receipt of any replacement cards before
going on holiday.
6 Conditions attached to free car upgrades.
6.1 The offer is for a complimentary car upgrade to the next category, for
selected car categories in selected destinations, as shown below.

6.2 Only the upgrades shown above are permitted.
6.3 All car upgrades
are subject to availability and are on a request only basis. Only one vehicle
upgrade per membership permitted.
6.4 Free upgrades are not available on specialised
fleets (i.e. 12V)
6.5 Car insurance is not included in the complimentary upgrade.
Any upgrades may increase the prepaid car insurance package, which you will
be required to pay.
6.6 For USA and Canada, car upgrades must be booked
prior to departure and must show on your car hire voucher. Complimentary upgrades
are not available in resort. Any voluntary upgrades made in resort will be
charged for.
6.7 If your car has a dash between the letter and number
then you have a free upgrade ie F-4. If your car has Sat Nav and has the Frequent
Virgn Club upgrade, this will be shown on your voucher as V ie F4V
6.8 For St
Lucia and Barbados, car upgrades will be honoured on arrival in resort, provided
the car hire was pre-booked direct with Virgin Holidays prior to departure
from the UK. To receive your car upgrade, you will need
to present your Frequent Virgin Club membership card
6.9 Sat Nav can not be
included as a free upgrade, this is always at an additional cost.
6.10 Please
ensure any discrepancies with your car hire voucher are resolved prior to your
departure from the UK.
6.11 We will not accept any responsibility for any discrepancy
after you have departed the UK.
7 Data Protection
7.1 As part of your membership you will receive communications which
are integral to the club, such as your membership pack and important information
on programme updates and developments.
7.2 We may from time to time also send you details of holiday offers and promotions.
